Hey All,
Just wanted to add a few things when doing applications for New/Renewal/Replacement Library Cards.
1. Use name on the ID given. Patron must have proof of a name change (divorce, marriage, etc).
2. If a patron has a hyphenated last name (Smith-Jones John), run a check for names as Smith-Jones John, SmithJones John, Smith John, and Jones John. On the actual account, use the hyphenated name as written on application.
3. The "u alt id"field is only for Texas issued Driver's Licence or ID Cards. TDL is listed as T12345678. TID is listed as I12345678. A temporary issued TDL to a non-US citizen will still be listed as if it were a TDL or TID. All other forms of ID (passport, non-Texas ID) should be listed as a "x note".
4. Complete the updates while the patron is waiting to ensure we can enter the correct data. There are plenty of "7's" that look like "1's". Please enter/update all information before placing application. If the patron listed the same telephone in both blanks, only one number needs to be listed in the account. If the patron placed two different phone numbers, please add then in the account. Other staff members will "Store" the applications to check for duplications and minor errors, but they should not be completing an account by adding new information.
5. If a patron has created a temporary online account, an application must be filled out to gain complete access and privileges. In this scenario, search for the online account and change all information necessary to make it appear to look like a regular account. Don't forget to change the 101 HOnline Self Registration to 41 or 43 or the appropriate designation. If this is not done and the patron has holds on the online account, the system will not allow those holds to be checked out.
6. When giving a new barcode for a replacement, change the old barcode to a "x note". Add the date and a note to effect of "Replaced Lost Card 22477000000000 ste/pj" (for example).
7. To reiterate what was passed in this week's meeting, birthdays for adults must be manually inserted as "e". Please do not use punctuation. And please use all Capital Letters.
8. Addresses must use three lines. Number, Street Name, and apartment numbers go on the first line, City and State on the second, and ZIP code on the third. If there are only two lines available, click mouse in second line and press "Shift" and the number "4" to create the third line.
9. If there are any "m messages" such as "Verify Address" or "Verify Email," please change these to a "x note" when the information is verified with a note explaining they were verified. Do not change an MBLOCK with a C Collection.
10. If a patron must provide alternate proof of address, please place an "x note" explaining what they used to verify their address.
11. For juvenile applications, the parents must initial for Laptop Permission. If the parent checks "yes" but does not initial and we don't catch it before they leave, make a note in the account that laptop permission was not initialed by parent/guardian.
12. MilCirc has the capability to search for accounts by patron name, barcode, and TDL or TID.
To search by name, type N then the patrons last name and first few letters of the first name (NSMITH J). The purpose of using only the first few letters is to be able to view all variations of a person's name such as John, Johnny, etc. To search by TDL or TID, type U then a T for TDL or I for TID then the number (UT12345678 or UI23456789).

Please do not "Stack"
All,
We have had a problem with mis-wrapped holds. Although it is a little slower, I am asking that from now on, we refrain from "stacking". Please carefully wrap holds one at a time and be sure to check that the barcode number matches. We pride ourselves on our customer service here, but it is very poor customer service if we cannot provide customers with the items they request properly.

I wanted to remind everyone that all staff needs to be very familiar with Policy 2.3 and ensure that we are all following it when suspending people from the library. This policy explicitly lays out the offenses that can result in suspensions and how long each suspension should be based on type of offense. When suspending someone from a location, we need to make certain that it is done according to this policy.
I really want to draw everyone’s attention to section C. In fact, it is a good practice to print this out and share it with all staff. I also would like for everyone to post this information to your location’s blog. We have to make sure that the suspension we issue for rule violations matches the appropriate listed category (Short Term Suspension, Long Term Suspension, and Indefinite Suspension). In addition, it is crucial that the length of suspension follow the guidelines listed here based on whether it is a customer’s first, second, third (etc.) offense.
Finally, and I can’t stress this enough, anytime there is a suspension, there needs to be an incident report to document the details. In the reports, it is important to explicitly state why the customer was suspended and the duration of the suspension. I find it useful to include a reference to the phrasing in our policy that applies to the situation at hand.

Music CDs
The music CDs have been rearranged as follows:
The left turnstile has classical and opera combined in the front 2 stacks with religion at the end, jazz in the back right stack, and children's in the back left stack.
The middle and right turnstiles have all other genres combined in alphabetical order with A - L in the middle turnstile and M-Z on the right. Also, any CDs catalogued as a number such as: POP
2002
WAITE
are now located before the A's.
The Christmas music which is classified as MISC and HOL will be kept in the back behind my desk.
Hopefully, these will be labeled by the end of this week.

As we move toward the unified service model, we will now have a single staff schedule for both professional (aka reference) and paraprofessional (aka circ) staff. It will be linked from the blog where the current schedules are. It will go live tomorrow, Wednesday, February 2nd.
