Item reconsideration AND book club

When a customer wants us to reconsider an item, it would be best to give them the "item reconsideration form" from HPLnet, as opposed to giving them a comment form.  The comment form is mostly for complaints in general, not in connection with our collection.

Also, we are going to discontinue the book club until further notice.  There will be no book club for November.

Manager's Meeting 10/24

Topics discussed include:


  • Organizational Development Team will be coming around to get to know managers and staff
  • We can post photos on the G drive to go along with Sprockets
  • Use your Outlook Calendars to keep track of meetings, etc.
  • Keep whatever concerned you have about WorkFlows or other operating procedures concerning HPL to yourself when interacting with customers.
  • Sarah Ortiz will be working with Fred in Circulation.  She will be coming out to Libraries in the future to observe our work flow.
  • Holiday Staff Picture Contest - We can take a group photo and submit to win prizes.
  • We(Stella Link) will not be requesting substitutes.
  • Check Applications to ensure they are in the system, turned in by 10th of following month.
  • FIDS bought wipes and Goo Gone for our ordering from supply room
  • CMC deadline is next week.  If you want to donate please do so soon.
  • Those with Smart Phones, please try out using them with the HPL app on them as you do roving reference.  We can try out the Kindle Fire for roving, however we do not have a case to carry it.
  • We need to STOP ALL BEEPS AT THE GATE.  If you are creating checkouts that end up beeping, talk to me, Renee, Tim or Edgar and we can straighten out what is creating the beeps.
  • New WorkFlows logins are ready to go.  we will discuss this next staff meeting.
  • E-mail IT helpdesk whenever the system is slow.  Please CC me.
  • If customer is not getting e-mail notices, get their card number and e-mail to IT helpdesk.

Library Card Barcode Scanned in Smart Phone

A customer at a Neighborhood Library requested to use a laptop and had his library card bar code scanned in his smart phone. A question came up if we accept that? I wanted to share Fred Schumacher's response in case this happens at your location.

We don’t have a policy in place currently, but we are working on developing one.  In this instance, it is okay, since we would hold his current ID at the desk while the laptop is checked out. Also, we would have confirmed that the account belonged to him and was in good order before checking out the laptop.  For others types of transactions for customers with bar codes scanned into their smart phones,  it would be reasonable to ask to see ID for the moment. 

Fred is working with a team to revise the policy to assist in these sorts of situations.

Staff Meeting October 16

  • ·         Shairse will be shadowing staff for a few days.  Stay attached at hip.  Sharise- observe and absorb
  • ·         Thanks to Renee and Edgar for going through the catalog and circulation training with Sharise
  • ·         Thanks to Edgar and Allie for taking care of a lot of the cataloging issues we have seen.
  • ·         Look at the skills test – ask if you have any questions
  • ·         Have a trespass warning for a specific patron, will show the flier.
  • ·         Policy dictates that we must offer a voter’s registration when giving a library card.
  • ·         Still getting wrappers switched on the holds
  • ·         You will track your own holds numbers monthly, then turn in at the end of the month.
  • ·         Full time staff should have a program of some sort, except for the passport agents, who really have no time.  Part time will not have to have a program.
  • ·         For new staff – reminder – Saturdays you cannot call in unless in hospital or close to it.
  • ·         Can switch, but needs to be in advance and worked out with other staff.
  • ·         If you call in on Saturday, will be required to work the next Saturday.
  • ·         Did find some YA fiction in with the uncataloged paperbacks in the YA section.
  • ·         Finding LPC in with the Adult iction – be careful, if you see it fix it.
  • ·         Important – we really need to walk over to the automated system.  Still a lot of sitting and pointing going on.  First move is always to say the checkouts/checkins go through here, let me show you how to do it.
  • ·         Use the front door when we are open if you do not have a key.
  • ·         Try to get the phones
  • ·         Still having trouble with punctuality.
  • ·         Holds – we really need to complete them the day we get them.
  • ·         Try to get exceptions bin cleared by the end of the day everyday.
  • ·         Watch for tags on holds for here.
  • ·         Silver grocery bin Carts next to Bertha, no books should b in there
  • ·         Passports we need to stick to our cutoff times.
  • ·         Clear holdshelf – just look at the dates
  • ·         Child Craft Monday nights at 7 in November – Thanks Chantel.

Use the same naming convention every month with the name of the month and report.

Staff Meeting 10/9

  • ·         We are doing an excellent job overall.  It is because we have all of the large, procedural duties down so well that we are able to really focus on the more minute details that we are focusing on now. 
  • ·         Renee: Thanks for coming in on your day off and taking another day off.
  • ·         Frances: Thanks for working with the children that have come to scrapbooking
  • ·         Christine: Good job with the customer yesterday concerning her fines
  • ·         Allie: Excellent work in transforming those story times into more manageable groups
  • ·         Tim: thanks for volunteering to be on the committee to re-write the card policies
  • ·         Excellent job with Kronos.  Everyone is usually getting to 40 hours at the end of the week.
  • ·         We do need to remember that just because Kronos does not count you as late at 9:22, does not necessarily mean you were not late.  That is still seven minutes late, and if it is habitual, it will work into your HEAR.
  • ·         Our hours have changed. Give passport questions to the passport-trained staff.
  • ·         Children- Starting a rotation to stay with them after we close.  LA and CSC exempt
  • ·         September reports are overdue if you do not have them in yet.(due on 7th)
  • ·         When relieving someone at desk, you really need to relieve them, don’t make them sit there for 10 more minutes helping people, postponing their lunch.  Let them get off the desk as quickly as possible. 
  • ·         When it is a hold for here from the exceptions, we must check for a tag. Delivery should already be tagged.
  • ·         Holds wrappers for delivery are now individualized on the two computers we use.
  • ·         When doing delivery for evaluation, do not answer the phone, no one bother them
  • ·         Giving the handout for the Skills Test.
  • ·         No food at the desk.  Only bottled water.
  • ·         Book Orders – Send an e-mail when you submit.  Date due and date  sent.
  • ·         Evanced – Date submitted – E-mail to Veronica. (Edgar)
  • ·         When scheduling for delivery evaluation, I try to give hour before and after off, not always possible.
  • ·         Coin copier, if you call them e-mail me.
  • ·         The Rover position, I am trying to limit to those that actually do not mind standing up at the desk, again not always possible.
  • ·         Picture Books- go in exact alphabetical order
  • ·         Holiday books – current ones go on a cart to be shelved, not on metal cart.  Non-current go on metal cart at bottom.
  • ·         Checkout machines can now e-mail receipts to customers.

·         Check the holds to make sure if it is here or somewhere else.  It will give you a name regardless in the popup box, but we need to see if it says STE or some other branch.
·         One type of item per cart when building carts
·         Delivery speed has been tested for the HEAR criteria, and it is very doable.
·         Watch what you say in front of customers-also remember we can be heard in the workroom
·         We have to stay on top of the stats
·         When tagging, watch out for the UPC barcodes to make sure that does not get programmed.
·         We are having a lot of errors with the deposit.  Stay focused on what you are doing while processing payments with SMM.
·         We need to do an incident report each time that a child is here after we close.
·         We have to schedule a third person on passports occasionally during the week in order to give Chantel and Ray breaks.
·         Tim will start checking for errors in apps for HEAR purposes on apps created in October.
·         The errors that will be noted are duplicate accounts, applications not written in blue or black ink, fines not having been paid on an updated account, information not updated on a renewal account and procedural infractions such as laptop permission not being noted or some other box not being filled in that should be.  What will not be counted against you are typos.
·         When doing delivery-reminder-one item at a time off the cart.
·         If there are three of you on the desk, and third person not needed, don’t wait around, just go do something else and check back in periodically.
·         Passport agents, as soon as the last person in line out front is gone, immediately shift to doing other library duties.
·         At the end of the day, we all need to leave together unless you ride the bus, which in that case, you can leave after signing out so as not to miss your bus.
·         We need to keep up with the calendar to reflect time off.  If it is not in that calendar, I am going to assume you will be here regardless of what Kronos or the schedule says.
·         Hand write all transmittals for passports.  Do not type in anything other than the name of the location and address.  Hand write everything else.
