When a patron asks if they owe any fines or want to pay fines, please look up the account in Symphony WorkFlows first. Scanning the card in Smart Money may not show the correct amount. This may be especially true if the patron has overdue items. There have been a few issues lately where a patron paid off a fine, but the account was still blocked due to overdue items. A second payment had to be made to fully clear the account.

Holiday Due Date
Greetings all.
Symphony is assigning 01/01/2014 as the due date today for
check out and renewals on 21-day (3-week) loan items. HALAN is working to
correct the problem, but the fix will likely take until tomorrow to take
effect. For today, please make your customers aware that the 01/01/2014
due dates will be modified to 01/02/2014 automatically once the problem is
fixed.

- · Intranet – Need you password to get holds lists. Need it for skills test.
- · Renewals – We can renew items at the machine.

- · My comp time today, for coming 45 minutes early yesterday.
- · After School – everyone empowered to keep the kids in line. Do not need to get me necessarily.
- · Collection HQ up and running – Allie, Renee and Jesse. Get back in there a little bit and see if you can unearth anything important relative to your collections. Do not have to turn in on monthly report every month, but every once in a while you may want to throw it in there so that I will know you are using it. We pay a lot of money for this resource, and it has helpful information.
- · Staff computer out front – Lock whenever not physically using it. Do not log off, lock it. Logging back on takes longer than merely unlocking it.
- · Adults in teen section is OK before school lets out. Teens get out at about 3:45. Do not assign a teen computer to an adult after 2:30 or so, because then they will have the full hour which would cut too close to teen hours.
- · Teens and children can be in adult computers if they are doing homework in the after school time frame. If not, and the computers are getting all filed up, then they should go to the computer lab, kids computers or teen computers.

We discussed some items that may be of interest to us here at Stella Link in our meeting today.
We are still thinking about purchasing, for a pilot program, one of the handheld Sirsi circulation systems to use when roving. The devices are not cheap, so much thought will be placed into this before making a decision.
We may still be getting fax services for this library. The logistics will need to be worked out with Coin Copiers and us to make it happen. This could also go hand in hand with us getting scanning services as well.
The HPL mobile app should be working correctly now.
We have to stay on top of the tagging to make sure no untagged items get through so that the security gates can function properly. I think we are doing well in this area.
We are still looking at the possibility of having a tablet of some sort to carry around during roving to help people with catalog searches and possibly other functions.
We should be receiving the circulation statistics soon.

Lost Cards and Statistics
Statistics look great for October.
Overall, program stats are up over 10% from last October. With the same number of programs, we had over 2,700 in attendance this year, compared to just over 2,300 last year in October. Juvenile saw the biggest jump, going from 1,383 to 1,699. Keep up the tremendous work guys.
Procedure for lost cards:
If someone comes in and is getting a replacement.
You want to go to User Lost Card wizard(under the "Special" tab on the left hand side), put in their old number(after you have looked it up using their license) in the top field of the Wizard and then scanning in a new card in the bottom field for their new number. Once you have done that, go back to modify user and update their account just like you would if they had their old card still. We do need them to fill out the paperwork though.
If they are not getting a new card at the time or they are on the phone, you want to go to modify user, go to privilege, change status to "lost card", enter the override and you are done.
When they come back to reinstate their card, once they have found it or they get a replacement, you will have to go back in and change the status back to OK.
To do that, you will first have to change the status to "Barred" and enter override and save it.
Then, go back in and change status to "reinstate user" and override and save again.
Now, the status should be back to "OK" when you next look at their account.

- · Only count personal Delivery stats for SMART goal purposes when you are scheduled to do delivery. Hand those sheets in to me at end of each month.
- · Difference between “Customer Comment” “Request for Reconsideration” and “Suggest a Purchase”
- · When you take bookdrop out to the public floor, do not leave it alone.
- · Do not put tape on any items for transit purposes and such
- · Do not place anything into Bertha bins by hand. Always run them through. The lone exception being Associated Materials items that will never sort out correctly.
- · The middle self-check does not support CC payments at this time.
- · The self-check “E-Mail Receipt” does not work properly
- · If someone is not getting notices, get their name and card number and tell IT.
- · Make sure the daily mail gets to Tim’s blue bin when bringing it to the back. We do not want any of that to get misplaced.
- · When stapling newspapers, always three or four staples in upper corner of paper. Come and ask me if you are not clear. This will be on Skills Test.
- · ILL gets slow and times out in our busy hours. If this happens, just let the customer know that you apologize and they might want to try before 11am or after 5pm.
- · Make sure to close out your holds wrapper when done with delivery. Next person open their own.
- · Statistics sheets – Pulled is only the paging list, only once per day. Processing is everything else.
- · Put computer lab stats on the sheet in there, even if no one showed up. Put date, class and number of students.
- · Tim will start a hanging file for everyone’s applications. We want you to go back when not on the desk and double check the apps for accuracy. Gives you a chance with less time pressure on you to get it right before Tim looks at them for evaluation purposes.
- · We need to immediately get those apps off the front desk and under the desk when finished with the apps out front. Do not want to lose confidentiality of customer’s information.

Item reconsideration AND book club
When a customer wants us to reconsider an item, it would be best to give them the "item reconsideration form" from HPLnet, as opposed to giving them a comment form. The comment form is mostly for complaints in general, not in connection with our collection.

- Organizational Development Team will be coming around to get to know managers and staff

Library Card Barcode Scanned in Smart Phone
A customer at a Neighborhood Library requested to use a laptop and had his library card bar code scanned in his smart phone. A question came up if we accept that? I wanted to share Fred Schumacher's response in case this happens at your location.
We don’t have a policy in place currently, but we are working on developing one. In this instance, it is okay, since we would hold his current ID at the desk while the laptop is checked out. Also, we would have confirmed that the account belonged to him and was in good order before checking out the laptop. For others types of transactions for customers with bar codes scanned into their smart phones, it would be reasonable to ask to see ID for the moment.
Fred is working with a team to revise the policy to assist in these sorts of situations.

- · We are doing an excellent job overall. It is because we have all of the large, procedural duties down so well that we are able to really focus on the more minute details that we are focusing on now.
- · Renee: Thanks for coming in on your day off and taking another day off.
- · Frances: Thanks for working with the children that have come to scrapbooking
- · Christine: Good job with the customer yesterday concerning her fines
- · Allie: Excellent work in transforming those story times into more manageable groups
- · Tim: thanks for volunteering to be on the committee to re-write the card policies
- · Excellent job with Kronos. Everyone is usually getting to 40 hours at the end of the week.
- · We do need to remember that just because Kronos does not count you as late at 9:22, does not necessarily mean you were not late. That is still seven minutes late, and if it is habitual, it will work into your HEAR.
- · Our hours have changed. Give passport questions to the passport-trained staff.
- · Children- Starting a rotation to stay with them after we close. LA and CSC exempt
- · September reports are overdue if you do not have them in yet.(due on 7th)
- · When relieving someone at desk, you really need to relieve them, don’t make them sit there for 10 more minutes helping people, postponing their lunch. Let them get off the desk as quickly as possible.
- · When it is a hold for here from the exceptions, we must check for a tag. Delivery should already be tagged.
- · Holds wrappers for delivery are now individualized on the two computers we use.
- · When doing delivery for evaluation, do not answer the phone, no one bother them
- · Giving the handout for the Skills Test.
- · No food at the desk. Only bottled water.
- · Book Orders – Send an e-mail when you submit. Date due and date sent.
- · Evanced – Date submitted – E-mail to Veronica. (Edgar)
- · When scheduling for delivery evaluation, I try to give hour before and after off, not always possible.
- · Coin copier, if you call them e-mail me.
- · The Rover position, I am trying to limit to those that actually do not mind standing up at the desk, again not always possible.
- · Picture Books- go in exact alphabetical order
- · Holiday books – current ones go on a cart to be shelved, not on metal cart. Non-current go on metal cart at bottom.
- · Checkout machines can now e-mail receipts to customers.

Check the holds
to make sure if it is here or somewhere else.
It will give you a name regardless in the popup box, but we need to see
if it says STE or some other branch.

per cart when building carts

Delivery speed
has been tested for the HEAR criteria, and it is very doable.

Watch what you
say in front of customers-also remember we can be heard in the workroom
·
We have to stay
on top of the stats
·
When tagging,
watch out for the UPC barcodes to make sure that does not get programmed.
·
We are having a
lot of errors with the deposit. Stay
focused on what you are doing while processing payments with SMM.
·
We need to do an
incident report each time that a child is here after we close.
·
We have to
schedule a third person on passports occasionally during the week in order to
give Chantel and Ray breaks.
·
Tim will start
checking for errors in apps for HEAR purposes on apps created in October.
·
The errors that
will be noted are duplicate accounts, applications not written in blue or black
ink, fines not having been paid on an updated account, information not updated
on a renewal account and procedural infractions such as laptop permission not
being noted or some other box not being filled in that should be. What will not be counted against you are
typos.
·
When doing
delivery-reminder-one item at a time off the cart.
·
If there are
three of you on the desk, and third person not needed, don’t wait around, just
go do something else and check back in periodically.
·
Passport agents,
as soon as the last person in line out front is gone, immediately shift to
doing other library duties.
·
At the end of the
day, we all need to leave together unless you ride the bus, which in that case,
you can leave after signing out so as not to miss your bus.
·
We need to keep
up with the calendar to reflect time off.
If it is not in that calendar, I am going to assume you will be here
regardless of what Kronos or the schedule says.
·
Hand write all
transmittals for passports. Do not type
in anything other than the name of the location and address. Hand write everything else.
