Young NL will close at the end of the business day on Friday, September 30, 2016.  The Grand Opening for Young at its new location, 5107 Griggs Rd., will be held on Saturday, November 5th


Customers may continue to use the book drop at old Young until further notice.  Holds may be picked up at Smith NL.

Anyone interested in helping put books back on Young's shelves, starting Monday October 3, please let me know.

Learning Link FAQ's


1.      
What is Learning Link?
Learning Link is a virtual library account that is issued to all students in Houston Independent School District schools.
      2.       Can a student have a Learning Link account as well as a My Link library card?
Yes.  A student enrolled in an HISD school may have a Learning Link account even if s/he already has a My Link library card.  Likewise, a student with a Learning Link account may also register for and receive a My Link library card, as long as s/he does not already have a My Link library card account in HPL’s Symphony system. 
      3.       What can a student do with a Learning Link account?
            Learning Link provides the student with 24/7 access to HPL electronic resources, as well as
            allows him/her to have up to 10 physical items checked out from the Library at a time (some
            restrictions apply). 
      4.       Are there check out limits for Learning Link accounts?
Yes.  Learning Link accounts are limited to up to 10 physical items checked out at any time. Additionally, Learning Link accounts are subject to the same check out limits on electronic resources as My Link accounts.
      5.       Are there restrictions on the type of physical material that can be checked out on Learning Link accounts?
Yes.  Learning Link accounts may not be used to check out DVDs, CDs, laptops or other electronic devices, games or Flip Kits.  Additionally, elementary school students may use their Learning Link accounts to check out physical items from the juvenile materials collection only.
      6.       Do Learning Link accounts accrue fines?
No.  Fines do not accrue for overdue materials checked out on Learning Link accounts. 
      7.       Do Learning Link accounts get billed for unreturned, lost and damaged material?
Yes.  Learning Link accounts will be billed for unreturned, lost and damaged material.  Bills for items will be limited to a maximum cost of $10.00 per item, and no processing fee will be charged. 
      8.       Will Learning Link accounts be blocked for bills?
Yes.  Learning Link accounts will be blocked from privileges when the amount owed for bills for unreturned, lost and/or damaged material on the account is $50.00 or more.
      9.       What do I do when a student wants to check out physical material with his/her Learning Link?
To look up the student’s Learning Link account, request his/her school issued student ID, and look the account up using the name and ID number.  The Learning Link User ID is the first initial of the last name followed by the student ID number (Robert Frost with HISD ID number 123456 will have Learning Link user ID F123456).  If the student cannot present his/her school issued student ID, get the student’s first and last name, student ID number and birthday. Use that information to look up the student’s account, confirm that you have the right account by checking the birthday against the PIN (mm/dd).  Before checking out, make sure that the student’s home address and phone number are added to the account.  Address verification is not required for these accounts, but it is helpful to do so if the parent is present.
      10.   Can parents/guardians use their children’s Learning Link accounts?
Some parents may wish to use their children’s Learning Link accounts to check out material for their children.  Allow them to do so.  The parent will need to provide the same information to access the account and check out as the student does.  The same limitations will apply to these check outs as apply to check outs performed by the students.
      11.   Can Learning Link accounts be used to check out DVDs, CDs, laptops or other restricted material if the student’s parent/guardian gives permission to do so?
No.  Learning Link accounts are not approved for checking out any of those materials.  Parents/guardians may register their children for My Link accounts, which will allow them to check out DVDs, CDs, laptops and other electronic devices, games and Flip Kits.
      12.   Do HISD Staff have accounts too?
Yes, HISD staff also have Learning Link accounts in the Symphony system.  The formula for the user IDs is the same as the student accounts— first letter of last name and employee ID #.  They are not allowed to check out physical materials with those accounts.  They are limited to electronic resources only.  If an HISD staff member comes in and wants to check out physical materials, they should complete an application and get a regular MyLink card.

Scanning and Staging Holds

When doing delivery or book drop/others and scanning holds, please place then on the cart in the correct order. This is the only way that we can truly tell if they are done. This is especially important with the large metal carts that are specifically for hold items.

A good example for doing holds would be to place a bookend on the right side of a shelf and pull from the left and place scanned and tagged items to the right of the bookend in correct alpha order.

I made the mistake of transferring scanned items to another cart, but did not check the order after the cart was completed by another team member. This leads to confusion. I also saw it happen earlier in the day as well with a cart being staged by the door, but not in correct order.

This is especially important to do if you must leave a work area and holds is only half completed.

Adult Biographies have been weeded and floated. Please do the same for Adult Non-Fiction. Sally has given a list of children’s non-fiction to be weeded and floated. When working on this list, please put a check mark next to titles found because those must be discarded in Workflows. Also put an X next to those items not found.
Please utilize your PIE to weed the children’s non-fiction list as well as to shelf read Teen fiction.
When leaving an item on the Labeling shelf, please attach a note of explanation.
378.1662 exam books that are the older editions should be checked out to discard.

Newly cataloged SP paperbacks may be missing the SP on the spine label.

Stella Link Team Meeting Notes September 21, 2016

Thank you: Michael did a superb job in calling other locations after an extremely large book donation was received at STE. Nhu, Jose, and Carol worked together and created our Go Vote display near the library’s main entrance. Thank you to the entire STE team for your patience while IT was working to fix the 1-up receipt printers. Please call IT instead of adjusting settings if the computers are not functioning properly. More harm may be done if the settings are adjusted. One computer is now working properly, but the other is still being corrected.

Learning Link Cards:
This program has not officially launched, but the accounts have been created and appear in Work Flows. Please do not use the Learning Link Card to check out items until the program has been launched. Students can use a My Link card if they have one. If a child is getting a My Link card with a parent, do not use the Learning Link account or change the barcode number. Instead create a new account or search for a previous My Link card with the numbers 77422 or 22477. The Learning Link will appear as the first letter of the student’s last name and their student ID number as printed on their badge (example: H1234567). This number will also work to reserve computers.

Cell Phones: If a cell phone is lost and found, please place it in the safe with a note indicating the day and general location found and the initials of team member who found it. Please check the safe when a customer asks about a lost phone. Cell phones can cost hundreds of dollars and we don’t want to leave them at the front desk in the lost and found drawer.

Unsolicited Donation: A book titled Inflation Dynamics and Monetary Policy has been received by several libraries. It was an unsolicited item and has been deemed not appropriate to be added to the collection. The book was distributed by the Federal Reserve Bank of Kansas City. Please put the book in book sale or with items for HPL Friends.

Book Drop/Others: When scanning items from the others bin, please separate items going on the STE hold shelf and items going to CEN or other locations. On two occasions this week, it was found that items on hold for STE were placed in the outgoing delivery bins and items on hold at other locations were on the STE hold shelf. One of these cases involved an upset customer. Eventually the item was found and the customer was happy.

Closing Time: Customers are permitted to enter the library at a moment until closing time. Please do not block or attempt to impede access to the building while the building is still open. Assist customers as efficiently as possible to expedite their use of the library.

Groomed for Literacy: This program features a partnership with HPL and the Put It In a Book Foundation. The program aims to address the literacy gap for underserved youth (with specific emphasis on young boys of color) and to promote a love of reading by expanding access to quality books in the community. Voter Registration Forms: New forms have been received in Spanish. They are place at the desk with the English version. They can be identified by their blue ink. A Volunteer from the League of Women Voters will be at STE on October 6th from 3 PM – 5 PM.

Bargain Book Sale: The $5 bag of books bargain sale will end tonight at close of business. Prices will remain at $1 for hardbacks and $.50 for paperbacks.

Housing Choice Voucher Program: Six customers came to STE this week to apply for benefits under the Houston Choice Voucher Program. Most of them only needed access to a computer to access the website. The website for this program is www.getontheHHAlist.com. Applications are available in English, Spanish, Chinese, and Vietnamese. Please help our customers to the best of our ability with computer questions. Customers can call 713-260-0500 if they require further assistance. The program is accepting applications from 8 AM on September 19th through 11:59 PM on September 25th. Customers can check the status of the Houston Voucher Choice at https://hha.apply4housing.com/status/ . The lottery will be posted on Thursday September 29th. A white iPhone was found in the teen lounge this afternoon and currently is in the safe. It appears to belong to a teenage girl as a photo has been set as the screensaver.

Project Goal
Inspire the Houston community to (1) register to vote, (2) get informed on the voting process, the national and local candidates and issues, and (3) go and vote (Early or on Election Day).

       2.     How do I register to vote in Texas, and what is a Volunteer Deputy Voter Registrar?

Texas law requires a hard copy registration form to be mailed or delivered to the county registrar’s office. Therefore, someone is only registered to vote when they receive confirmation from the County Registrar, not when they have filled out an application, whether online or ‘on-site’. In Texas, ‘on-site registration’ means that a Volunteer Deputy is on-site to assist in filling out voter applications.

For background, please review the following information about voter registration:  
  1. Volunteer Deputy Voter Registrars (VDVRs)
    • VDVRs are individuals who have been trained and are designated by the County Voter Registrar to assist eligible persons with a voter registration application. They can help to complete a voter registration application (particularly in the case of someone who cannot read or has a disability), and to review the completion of an application before accepting it. They cannot determine whether a customer is eligible to vote.
    • VDVRs should arrive with their own voter registration forms, called the ‘long-form’ version’. When they assist a customer with registration, they will collect these forms, issue a receipt to the customer, and are required to hand deliver the forms to the County Registrar within 5 days. HPL staff do not collect or mail in the forms provided by VDVRs.
    • Please provide a small table and a few chairs for the VDVRs. Please also put up a sign that makes it clear what the table is for (e.g. ‘On-Site Voter Registration).
    • We have asked that VDVRs bring their Certificate of Appointment with them. This certificate indicates they have gone through the County’s Deputy Training, and are qualified to assist customers with filling out the registration application. If they cannot provide their Deputy # when asked, please call me.
    • We have also asked that any collateral from third party organizations be reviewed beforehand. If they cannot confirm that their collateral is approved, please ask them not to distribute those materials.
    • Please note that Deputies certified by Harris County can only register voters who live in Harris County, not in other Counties. Some Deputies are certified by multiple Counties (Harris, Fort Bend, Montgomery, etc.). If a Deputy is not certified by the County that the customer resides in, they can hand out a short-form registration (the form the Library carries), but cannot assist that customer to register.
  1. HPL Voter Registration forms
    • Separately, HPL staff can continue to distribute the existing voter registration forms which we offer when a customer signs up for a Library card. (These are called ‘short-form’ versions.)
    • HPL staff do not assist in filling out these short-forms, but can offer to send the short-form through the Library mail system. If customers request assistance in filling out the form, HPL staff can direct customers to the VDVRs when available.
    • Additional short forms can be sent out upon request. Additional languages are available as well (Spanish, Chinese, Vietnamese).
  2. Online Voter Registration
    • Online sites are available to assist in filling out the form. However, the form must be printed and mailed in.

       6.     What is the partnership with the League of Women Voters, and how do I get a Voters Guide?
§  The League of Women Voters of Houston Education Fund is partnering with HPL on getting Houston to Go Vote across all HPL locations during the 2016 election season.
§  The League has generously offered to coordinate Volunteer Deputy Voter Registrars across all of our locations – from September 12th through the last day of Voter Registration, October 11th. HPL will be working with the League on getting the community out to vote through the Election season.
§  The League will also continue their support in providing their League of Women Voters Guides to all locations. The Guides are expected to be available the week of October 15th.
§  Hard copies of the Voters Guides will be distributed to all locations. The electronic version will also be linked to HPL’s website.

Yellow 1 Ups Labels

The PC nearest to Jacob's cubicle, the one to the left of the PC usually used for B/O will, at times, print something other than the necessary yellow 1Up. The wrong label is 1/3 the size of the proper label and is half filled with text.
If/When you are using Workflows on this PC and this happens to you please dial 31361 and speak with Tunu Le. I'm going to leave an example of the wrong label stuck to the top of the printer.

Learning Link Cards

The Learning Link accounts for HISD students were recently created in HPL’s Symphony system, and the accounts will now appear in Workflows.  Please keep the following in mind:

1.       Learning Link has not yet launched and the accounts are not ready to begin circulating material.  Please do not check out materials on these accounts yet. You will be notified when the program launches and the accounts are ready to use.
2.       Students may also have a regular My Link library card account or want to sign up for a regular My Link library card account in addition to the Learning Link account.  If a student and his/her parent choose to register for a regular card, you may issue a full service My Link card, even if the student already has a Learning Link account. 
3.       My Link library cards do accrue fines/fees for overdue and unreturned material, and customers may not have more than one My Link library card account.

Again, you will be informed when the Learning Link program launches and the cards are ready to use, but you may continue to issue My Link cards to students, even though they have Learning Link accounts in the system.  If you have any questions or concerns, please do not hesitate to contact me at fred.schumacher@houstontx.gov or at 832-393-1567.  I’ll get back to you as quickly as I can.

Stella Link Team Meeting Notes September 14, 2016

Thank you: Linda Shen expertly handled an upset customer with calm and patience. Jacob Hornbeak organized and hosted a vintage video game event on Monday night that was a success. Ray Williams wants to thank everyone for helping out with passports during the busy times.

Delivery: While discharging delivery, please check that the name that appears on the screen matches the name on the 1-up hold label. If a customer cancels a hold that is in transit, another hold for the item may be activated. When the item arrives and is scanned, but a new label is not printed, then there could be a chance that the item goes on the hold shelf under the previous customer’s name when the new customer is actually expecting it to on hold for them. If a different name appears on the screen than what is on the label, please print out a new label.

Expired: Please continue to print out the expired hold list on the staff computer closest to the workroom. Also, mark any item that is not found as missing. Please check the ILL shelf too for items that are more than 10 days since the print date.

Voter Registration: A volunteer from the League of Women Voters will be at STE to assist customers in registering to vote. The volunteer will be here until October 11th at these times: Monday and Wednesday 4PM-8PM; Tuesday, Thursday, and Friday 1PM-5PM; and Saturday 10AM-2PM. Our only role is to provide the table, chair, and the “register to vote here” sign.

Bargain Book Sale: This book sale promotion ($5 for an HPL bag filled with books) will continue until next Wednesday, October 21st. A sign is posted to inform customers of the end of the special promotion. We will periodically conduct this promotion whenever there is an overflow of donated books and other items.

Frances has been collecting kid-friendly donated magazines (such as Highlights, Ranger Rick, etc.) to send to CMH for placement in replenished FLIP Kits. Please set these magazines aside when they are donated.

Staff Development Day: This event will occur at CEN on Monday October 10th. Only vehicles with at least 3 people will be permitted to park in the garage at CEN and must be on the approved list with a parking pass. If you do not get a pass, you will not be allowed to park in the garage. Other options for the day include riding the bus, park in Lot H and be shuttled to CEN, or be dropped off. You will be notified about your parking assignment once the lists have been finalized.

Notary Services: Monday, September 19th, will be the first day for notary services. Please defer all questions regarding this service to one of the STE notaries. Similar to passports, the notary service has numerous requirements and restrictions on what documents, ID, and payments are accepted. Please be patient as this is a new service and we all are in the learning process.

General Information:
$6 for first signature and $1 for each additional signature on same document
$0.50 for each page to copied from a notary logbook as allowed under the Freedom of Information request

All transactions involving notary services must be in English. This includes all documents and verbal communication. This is for the safety of the customer and the notary.

The schedule will show pink squares to indicate who is the notary on duty should a customer call or come in with a question or need a document notarized. Please use the side of the passport desk next to the restrooms to do notarizations.

SRP Prize Pickups: Please remember that SRP prizes for adults and for family packs remain in the desk drawer under the cash register box. If the adult winner does come, please get Edgar, Tim, or Nhu. Pictures will need to be taken of the adult winners as we did with the bike winners.

Passport Photos: Beginning November 1st, passport applicants will not be allowed to wear eyeglasses in photographs The only exception is if the applicant provides a doctor’s note with instructions that eyeglasses must be worn at all times for medical purposes (such as during recovery from eye surgery).  Please refer to https://travel.state.gov/content/passports/en/passports/photos/photos.html if a customer questions this new requirement.

Cataloged Hardback Classics: Some classic titles have been arriving in hardback form instead of in paperback form. Please place these items in Edgar’s office if you encounter any of them while shelving. Materials Selections has been contacted regarding these items since they are cataloged as paperback.

Paperback Classics: Please do not place paperback classic items on the FLOAT shelf. It is not uncommon to have multiple copies on hand due to the demand from students.

Staff Development - Carpoolers Needed!

Staff Development Day will be here before we know it!  All staff are encouraged to carpool to Central for the October 10th event.  We are asking supervisors and managers to take responsibility to make sure that staff carpooling arrangements are made now.  Complete this survey (https://docs.google.com/forms/d/e/1FAIpQLSdxfv_KGrfRlwffiP2NIyJHozrKaSivkfsnTRD2CRNKdGhabA/viewform)  to let us know how the staff at your location plans to carpool.

There are limited spaces at the Central Library.  To make it fair, Central Parking will be assigned by reservation on a first come, first served basis to groups of 3 or more carpooling together.  To request a Central parking space for your carpool, please be sure to submit your survey as soon as possible.  Security will only allow the staff on the reserved list to park at Central.  All other staff will be asked to park at Lot H, take the bus or be dropped off.  See Lot H Map.

You will be notified about your parking assignment once the lists have been finalized.
