EVALUATION CARDS: Students will have opportunity to evaluate ASZ programs and provide suggestions on cards administered by staff in ASZ programs, Thurs., 2/26/15. Eval. cards are available in supply room for use in future programs.
 
 
"SNACK" & DRINK ALLOWANCE: Tentatively set for Monday, 3/2/15, students attending ASZ program may be allowed to consume acceptable drinks and snacks in Teen Lounge only. Acceptable drinks include those with bottle caps or lids (i.e. fountain drinks). The term snacks is used over food to avoid students from bringing in sheets of cake and pizza boxes. Individual meals like a burger combo, hot fries, pizza by the slice, etc. will be permitted. Acceptable drinks allowed in other programs and library spaces except Quiet Lab. Volunteer to create ASZ signage using HPL templates: Mark Hall.
 
 
OPEN DISCUSSION:
  • Ray: Gaming tournament proposal. Monday or Wednesday; creating a "1st Annual" (super smash bros). Students in Manga Club interested in starting Facebook Group. Students allowed to carry this out; approval must be acquired from Communications if idea is for staff to create/moderate (UPDATE 2/26/15: Manga Club members have already created group on Facebook and maintaining on their own).
  • Frances: Robot craft on 2/26; created robots will be placed out on floor this Saturday to allow customers to vote for best. Winner will receive prize and robot displayed for period of time.
  • Rules: Reminder to ensure there is consistency when enforcing rules. This applies to students, day-to-day, and between various staff doing ASZs. When student(s) are ejected from program, emphasize they have opportunity to correct behavior and follow library rules in another program. Remember documentation on problem log and/or suspension sheet.

ROLES/RESPONSIBILITIES OF MEMEBERS:

Patricia is the team lead for the collection management team. She will assist with collection management duties and/or questions. Her responsibilities include label updates, following up on flagged items on shelf, and collection project proposals. She will also be a back-up to assist with duties when those who are assigned the duty are out due to absence.

Tim will continue to maintain items coming from other libraries.

Carol will be responsible for tagging items.

Le’Derius will continue to process serials and floating items.

Doria will be responsible for discards. She will also serve as support for the collection management team.

EXPECTATIONS: 

All members are expected to assist one another in order to accomplish the task when needed.

Patricia is the team lead and can provide assistance and direction to team members to aid in the completion of the task/project in a timely manner.

Communication is the key. Please communicate with each other to help in accomplishment of task.

Just because you guys are part of the collection management team does not mean you take on the entire work load. Other staff members not on this team can also assist when the collection work volume is high (assistance with delivery, etc).

All staff members are expected to shelve. Shelving is not a collection management team responsibility. It is everyone’s responsibility.

OPEN DISCUSSION:

We should leave the items that are easy to shelve (ADU FIC, ADU NON-FIC, etc.) for the volunteers to do. The staff should concentrate on shelving items that are located on the right side of Bertha (picture books, JUV FIC, JUV NON-FIC, A/V items, etc).

Newspapers will be kept for two months only to give us more space. Press Display keeps online copies for 45 days. Central library has back issues of newspapers. Patrons have other options.

Please shelve newspapers in the correct order in the book drop room as you go. Do not leave stacks of newspapers for shelving later. If we each do our part, there will be no need to spend hours later putting the newspapers in order.

SICK LEAVE & WELLNESS:

If you will be out sick and unable to make it to work for the day, remember to contact the supervisor no later than 30 minutes after your shift begins. If you can contact your supervisor earlier, please do. Calls and text to Marcos or Nhu’s cell are welcomed.

If you are out sick for more than 3 consecutive days, when you return on the fourth day or any day after, please bring a doctor’s note with you upon your return.

Wellness hours can be used for preventive care such as the dentist, annuals, checkups, eye exam, etc. A doctor’s note is required upon return.

Full-time staff enrolled in the City of Houston’s health insurance will need to obtain a minimum of 500 wellness points by the end March 31st in order to receive a health care discount. Your health care cost will go up if you do not complete the wellness points needed.  Visit Mycigna.com to login to access your account and learn of various activities you can do to collect your points.

ASZ UPDATES:

Friday Work Shifts: Mark, Ray, Tim, Frances, and Nhu volunteered to work the 9-6 shift on Friday to watch the kids who stay after and to tidy up the library.

OPEN DISCUSSION:

Patricia:
There is a difference between exam/study guide books and books that teach you how to understand a concept. Make sure you shelve exam/study guide books in the correct area. Exam study guides include the following: GRE, GMAT, ACT, LSAT, SAT, ACT, MAT, nursing books, etc. Exam/study guide books do have a label on the spine that will assist in correct shelving of the item. 

Newspaper was originally discussed at the meeting to be kept for 3 months, but since the meeting, it has been decided that newspapers will be kept for 2 months.

Frances:
She is collecting box tops.

Lederius:
Lederius noted that there are too many people put on delivery. Maybe put less people on delivery so the rest can take care of other tasks. This has been brought to Marcos’ attention.

Lederius is concerned about popular books being placed on the floating shelf. He gets patrons asking for these popular books and he has to pull them off of the float shelf. I mentioned that the shelf gets full when we keep 4 or more popular books. Popular books tend to fluctuate depending on the needs of patrons. We cannot leave several copies on the shelf taking up space waiting for patrons to check them out. We are utilizing the floating system; therefore, books will come and go.

Tim
The small receipt rolls with the grey axels are for use with the Telecheck. The big receipt rolls with the black axels are for the check-out machines.


During the meeting, Tim addressed the issue of the way email addresses are input in the patron’s account affecting the way the check-out machines read the information. Please disregard what was said during the meeting. Tim wants us to continue to put all email addresses on one line separated by a comma and no spaces.

PROGRAM NAMES: Currently have the following program names for the four spaces used for ASZ: Teen Lounge, Quiet Lab, Studio, Gaming. No other suggestions on names at this time. These names will also be used to reference with not just other staff, but tweens/parents as well. Suggestion made to take out board games from Studio (Fridays) and substitute with trivia game or architectural blocks. Laminated signage for each ASZ space will be created and posted soon. Flyers to follow as well.


FOOD/DRINKS POLICY: Constant issue with tweens brining in food and drinks in library. Decision made to allow for food and drinks, but in designated area for tweens attending an ASZ program. Any customer (age, program or not in program) is allowed to bring in drinks only if covered: bottled cap, lid, cover, etc. Soda cans are considered open containers and not permitted in library. Food is not allowed in library, but attendees of programs may be allowed to bring food in those spaces as designated by manager. Proposal was made to allow tweens to consume food (snacks, individual meals) in teen area (Teen Lounge) in a designated area. Covered drinks allowed in other ASZ spaces except Quiet Lab. This will become in effect after this is officially announced in Team Meeting. This change in policy aims to reduce trash/litter outside the library along the perimeter, make the library more welcoming to attendees, and foster a better relationship with tweens and parents.


SUSPENSION LOG: Suspension log is located in red binder at desk. A problem log sheet will be created and made available to each ASZ programmer to use for documenting attendees who challenge the rules of the Library. Suspension sheet to be used when attendee has continuously or is habitually breaking the rules of the Library or performs an egregious act. This problem log sheet will also be available in red binder for all other library users who pose issues.


COMMUNICATION: Stella Link Security Guard has Vocera badge. Use badges to communicate with one another. Suggestion made by Tim to create names on Vocera for ASZ spaces and an ASZ group. This will make paging a space or the entire group of ASZ programmers easier and more efficient.

Next meeting will focus on outcome of items discussed above as well as plan to conduct in March full evaluation of ASZs.

 WEEKLY TASK SCHEDULE: Schedule shows changes most significantly the task codes and lunch hours assigned. This is an effort to become more transparent and effective in work flows. Additional changes to follow in the weeks to come (order of staff listed on schedule, etc.).



UNIFIED SERVICE DELIVERY & TEAMS: Two handouts were distributed. One showing a visual of the three teams at STE and another detailing each team. Teams include: Collection Management, Passport Services, and Programming. Team members are grouped in one or more teams to show how all gears work together to provide service as a whole to our customers. Team meetings will take place at least twice a month and sub-teams will take place on weeks when team meeting is not scheduled at least once a month. This will allow for a group to focus in on certain aspects of their responsibilities and duties.


AFTER SCHOOL ZONES: Reminder that all staff (except Frances) who run after school zone programs have a Vocera badge and can be contacted using ext. 3-1499 on staff phone. Programmers will meet separately to discuss communication and documentation further.


STAFF LOUNGE: Reminder to clean up after ourselves. GSD is not responsible for picking up after us or cleaning dishes/fridge/microwave. Kitchen will become organized and a cleaning schedule will be in place soon (for fridge and microwave).

OPEN DISCUSSION:

-TexShare Cards are filled out and can be sent to CEN for processing for those eligible (takes 2 weeks). Customer can visit CEN to shorten processing time. Customer eligible must have active card account for at least 6 months, no fines/blocks, and a Houston resident.

-Ensure to log in items received that belong to other libraries on the spreadsheet online before placing on shelf in workroom.

-Disconnect passport camera from charging cord before placing back in drawer.

-Ebooks class is only 1st Wednesday of month; same times. Call ext. 3-1499 to Vocera to ask for Mark Hall if ebook help is needed outside of class times.
