Stella Link Team Meeting January 25, 2017

Thank you to Alex for helping out at Vinson on 1/20 when they were short staffed.

Senior Manager Mary Wagoner was impressed with the hard work Jose put into getting Blue Ridge ready for their grand opening: “It was a pleasure meeting you at Stimley Blue Ridge NL and WIC Clinic.  I wanted to thank you for your hard work and positive attitude.  I also want to compliment you on your efficiency in moving the boxes to where they needed to be for shelving.  You made everyone’s workload lighter!  Once again, thank you for a job well done!”

Jesse received a  compliment on 1/24/2017 from a customer who said “Mr. Farias was extremely helpful and patient in helping me to set up online borrowing / Overdrive.”

Congratulations: Jacob has been selected as the new Sr. CSC for passports here at Stella Link. His position will now be posted and filled.

Shortage in Staffing: Mark’s position should be posted soon. Michael has left HPL and his position will also be posted soon. Since we are short two staff members at this point, please keep in mind that we will need to work harder to get things like shelving done. Try to work more efficiently to help carry the extra burden.

Apple Pay / Google Pay: Customers who have their credit/debit card information on their phone using services such as Apple Pay or Google Pay can make payments on our machines. They hold their phone up to the pin pad and then the customer is prompted to enter their credit card PIN number, just as it would if they had the physical credit/debit card.

Passports: If you are not a passport agent, please refrain from answering any passport questions. You have not gone through the training and there are too many specific details that only passport agents can answer. Please get a passport agent to answer specific questions about their application. Otherwise, you may end up giving incorrect information, and frustrated customers.

Signage: Please remember that if we put up any signage that we cannot use tape. This includes the any signage for library notices and passports.

Laptops:
There have been a few questions regarding laptop checkouts that need to be addressed so that we are all on the same page:
1. One laptop per library card may be checked out.
2. A form must be completed for each laptop that is being checked out.
3. For minors (under 18), a parent's valid photo ID may be used if the parent is listed as the responsible parent on the minor's account.
4. Since minors do not have ID’s, the responsible parent on the child’s account may leave their valid ID. 5. In cases where both parent and child check out a laptop under their cards, we can ask the parent for 2 IDs – one for each laptop. However, if the parent only has 1 ID, keep both forms together in the laptop cart with the parent’s ID so that if one laptop gets returned we still keep the ID with the second form.

Staff Exit: Please make sure that when you are coming in through the staff exit door, that you always keep the door locked. Sometimes, when we come in, the key is turned the wrong way, and the door is accidentally unlocked. We want to make sure staff are safe at all times, so please make sure it’s locked when you come in.

After School Zone: Please try to do your best to control the students so that they are not overly rowdy in the Gaming. In the Computer Lab, they should be quiet. Unless there is a special program, the kids cannot eat in any of the After School Zones. There are far too many candy wrappers which indicate that eating is taking place. Try to monitor to ensure the rules are followed. We know eating is not allowed in the library, so if we see anyone else eating, we need to remind them of the rules. We will continue to suspend any students who do not comply with the rules. For eating, a warning is given if it’s the student’s first time, and subsequent issues will face suspension. That’s why it’s important to keep a log of the students who break the rules in the SUSPENSION LOG at the desk.

Tax Forms: 1040, 1040A, and 1040EZ Tax Forms have arrived. They have been placed on the top counter area to the right of the print station. Other tax products will ship as they become available.

Items: Any items that are picked up from the library, or that customers return, that are checked in through the Exceptions (B/O) bin, that arrive through FLOAT or that we don’t know what they are must be ran through Bertha.

ILLs can be checked in at the desk and sent directly to Central, and FLIP Kits can be checked in at the desk and checked out to STE-REFURB then place a refurb tag and send it to CMH. All other items should go to through Bertha. This way, the tag will be sensitized so that the alarm will go off. Also, if the item has a hold, it will go to Exceptions bin for us to print a label out.

Checking Out: Keep up the good work of helping customers check out at the 3M machines. Remember that only ILLs are to be checked out at the desk.

Upgrade Sunday

IMPORTANT message from IT:

As part of our regular maintenance, we have scheduled a file server upgrade this Sunday, January 29, 2017 after 8:00 PM.  Please log off from your computer at the end of your workday this week by 8 PM on Sunday. You don’t have to turn the computer off.  Failure to log off your computer may result in delays restoring access to your network drives.

NO $ in PIN numbers

When assisting a customer create a PIN for their library card, please make sure a $ is not used. There is no option on the Express Check-outs for a $. The issue was reported to IT. Bibliotecha informed HPL that a $ is not available, but a solution is being sought.

Stella Link Team Meeting January 11, 2017 Notes

Team Appreciation: Great work everyone with passports. We processed 77 applications this past Saturday. Everyone helped with this effort by being flexible as the schedule was rearranged and lunches were postponed. According to previous figures, the number of passport applications will increase through March and this some. Please continue the solid teamwork.


Kudos to us for doing a great job in passports: “Stella Link library passport services are wonderful!!!!  I have done a passport 3x now, and your department was WONDERFUL!  They were patient, courteous, and knowledgeable.  I even had mistakes and they STILL took the time to help me then, not make me wait in line for another hour.  I really can't believe how much better the experience was there than the post office. The guy at the desk, I think Ray, really should be the demonstration for how to do the process for all future trainees!”

Thank you all for working yesterday despite the heat. The issues were resolved at the end of the day, and the temperature is much better today.

Locker assignments: The completed locker assignments sheet was posted by the lockers. Thank you to those of you who gave up your lockers to help accommodate visiting employees.

Calendars: Tim will be taking over the meeting room calendar; Edgar will be overseeing the online calendar and the paper calendars, so if you have any programs, please let Edgar know so he can add those to the online/paper calendar, but also ensure the room you need is booked.

Tax Forms: Tax forms have been shipped and should be arriving in the upcoming weeks. We want to put them where they’ve been placed in previous years – on the surface just next to the public printer. Boxes can be kept in the cabinet, but forms can be placed neatly on top of that area.

W2’s: 2016 Form W-2, Wage and Tax Statements, will be provided to all employees in paper hard-copy. This form will be distributed to you by your departmental management. Online access to the 2016 Form W-2 will also be provided to all current employees via the ESS website at https://portal.houstontx.gov/irj/portal. An email communication will be issued notifying you when W-2 statements are available online.

Wellness: Remember to try to schedule your doctor’s visits soon if you have not yet completed your final requirement for your wellness.  Edgar will be going to the doctor for a wellness on Thursday, and getting his flu shot. That should cover the requirements. If you have questions, please let Edgar know. A blog post from 11/28/2016 has full details (as d

Passports – Evidence of Primary Citizenship: Remember that today is when we start including photocopies of the primary citizenship evidence along with the original primary citizenship document with the passport application. This includes documents such as birth certificates, consular reports of birth abroad, naturalization certificates, etc. Customers who submit an expired U.S. passport book or passport card as citizenship evidence do not need to submit a photocopy.

Learning Link Barcodes: When printing out temporary barcodes for Learning Link accounts, please be sure to capitalize the letter that is in front of the student's id number. For example: Harry Potter - Student ID #234875. The barcode should print out P234875 not p234875.

Database Issues: If you experience any oddities in any of the HPL databases, please continue to report them to IT. Yesterday, for example, Edgar was helping a customer with Brainfuse Homework Help in the library and I received a message that indicated I was “using the service from a wrong country – GB.”

Team Discussion:
Tim has created the meeting room calendar for April. Please review and add any programs that you host that were not entered. Please place completed library card applications in the blue bin under cash register. All shelves must have bookends. Please inform volunteers to not remove bookends.

Nhu is very appreciative of this new system.  Also please remember to enter Notary stats on the processing stats for Nhu to include on her spreadsheet. Ivy from WAL/SWX will be hosting a Chinese Storytime once a month and will generally be the first Monday of each month at 1PM.

Please place appropriate notes on the application tag for the passport agent in the back. The notes can include if the birth certificate is missing the “I” and the applicant was informed. Ray has noticed that the kit books are overflowing and suggested floating some out.

Amethyst has set the date for the first field trip which will accommodate up to 40 students. She has been working with the YMCA to provide a coordinated effort. YMCA will provide transportation and HPL will provide the snacks. The age range is from 8 to 14. In the studio on Mondays for ASZ, Amethyst will host a STEM program on the first Monday of the month, cooking on the second Monday, Model UN on the third, and Leadership/Field Trip on the fourth Monday of each month.


Carol noticed the foreign language DVDs is overflowing. She suggested floating out DVDs older than 2012.

New Database

From Marianne Lorio:

We have access to a new TexShare database called Legal Information Reference Center. The best feature of this resource is that it contains the latest editions of numerous Nolo legal titles. This will be useful if someone is looking for information on, for example, how to become a citizen. If you don’t have a copy of the newest edition of the Nolo title that covers that subject on your shelf, the patron can read the book online. Just keep in mind that these are online use books (you can print pages) as opposed to the e-books you can download to your smart device.

Happy New Year: Hope everyone had a great holiday and that 2017 will be even better than 2016.

Staff Appreciation: Great work Wednesday morning crew on getting items shelved this morning. Yesterday the workroom had lots of carts needing to be shelved. Thank you to Carol for the Chinese New Year display.

Self-Checkout Swipes: Digital Strategies is going to be installing the new swipes at some point in the near future for those that had credit card swipes. Once the new swipes are installed and functional, we want to encourage customers that all credit card payments that are over $1 and not  American Express, go through the self-checks. That way we eliminate the possibility for error on our end, as there is no need to take confirmation numbers and write them over to the Smart Money, that we don’t accidentally charge the customer the wrong amount, or that we select cash instead of credit.

3D Printing Workshop: Today is our first 3D printing class for teens. The class will be offered by Mr. Chung, a volunteer, in the Studio during the After School Zone time. However, Amethyst will be in there. We will provide a projector and we will need to use the laptops. This means only Mac computers are available for checkout until after the program.

Headphones: When the library is closed to the public, we have the privilege of wearing one earbud to listen to music or audiobooks, or whatever else we like. During hours that the library is open – even if you are in the back, please put the devices away. Please also be considerate - playing music from the computer is a distraction to your fellow coworkers.

Lockers: By the end of this week, please make sure you have put your locker preferences down. Please be mindful that if you have a desk you might want to give someone else an opportunity to store their items in a locker.

ILL: ILL items with a purple tag are not to be placed on the items from other library shelf. ILL items that are returned must be checked in properly and placed in the CEN bin to be picked up by delivery. Jesse will share this information with volunteers.

The Outsiders: If you have a customer state that they returned a copy of the outsiders to our location in early December, give them the benefit of the doubt. We received a copy with no barcode and no RFID tag on it, but it is a library item. Please remember to put a note on the customer’s record if you remove the item from the customer’s account and waive associated fines.

Programs: I will be entering programs into the calendar of events, so please email me instead of Mark (since he’s gone) with any new programs or program changes. Jose and Jacob have graciously agreed to cover Mark’s 50+ computer classes; The Intro to Android / Social Network will be called “Internet Basics” and will be on Mondays from 12PM-1:30PM. I will add those to the calendars.The Spanish class has been canceled. The volunteer is unable to continue the class, as he has moved to a different part of the city. Please share the information with customers.


Tagging Cart: Items being returned to Central or for other locations do not need to be tagged here at STE. Only items that belong to STE or go on our holdshelf need to be tagged.

Team Discussion:
Nhu created a binder to file completed ASZ sign in sheets. The binder is located in the wire rack behind Tim’s desk.

Jose asked about the floated picture books that were received last week. It is suggested to scan a box at a time as not overfill the bin.

Alex suggested that the labels for the picture books be removed from the end caps until new ones are created. She also noted to be watchful for call numbers overlapping at the end of a shelf and the beginning of a new shelf and for holiday books being shelved with the regular items.

Jacob announced that the Retro Video Gaming will be held every 2nd Monday of the month at 6:30PM. Jacob has also canceled the book club. He is working on the creation of a writing club that will be held on the 2nd and 4th Wednesdays of each month at 6:30PM.

Ray wanted to remind everyone to enter DS-82 Stats on the Daily Stats spreadsheet. Please remember to turn off the passport camera after taking photos and the recharge the battery at the end of the day. Passport photos should be deleted at the end of each day after the line is closed. The passport printer has been making copies really blotchy. The issue was reported to IT. Juvenile comic books should be placed on the end caps in the juvenile non-fiction section. This will prevent damage when placed with the flimsy items.

2016 Form W-2, Wage and Tax Statements, will be provided to all employees in paper hard-copy. This form will be distributed to you by your departmental management. Online access to the 2016 Form W-2 will also be provided to all current employees via the ESS website at https://portal.houstontx.gov/irj/portal. An email communication will be issued notifying you when W-2 statements are available online.

For the second year, employees will be provided Form 1095-C, Employer-Provided Health Insurance Offer and Coverage. This report reflects your City of Houston-provided health benefits coverage for calendar year 2016 for yourself and any dependents and is required as documentation for your 2016 U.S. Individual Income Tax Return. This form will also be distributed to you by your departmental management. Online access to this form will be unavailable.

The statutory deadline for distributing or postmarking Form W-2 is January 31, 2017. The statutory deadline for distributing or postmarking Form 1095-C is March 2, 2017. Payroll Services will meet these deadlines and will provide your statements as soon as possible prior to the statutory deadlines.

Employees who fail to receive either their W-2 or 1095-C form by the statutory deadline should contact Payroll Services at 832.393.8900 to obtain a duplicate copy.
